Cohere Health is illuminating healthcare for patients, their doctors, and all those who are important in a patient’s healthcare experience, both in and out of the doctors office. Founded in August, 2019, we are obsessed with eliminating wasteful friction patients and doctors experience in areas that have nothing to do with health and treatment, particularly for diagnoses that require expensive procedures or medications. To that end, we build software that is expressly designed to ensure the appropriate plan of care is understood and expeditiously approved, so that patients and doctors can focus on health, rather than payment or administrative hassles.

Opportunity Overview:

We are seeking an initiative driven, detail oriented individual with administrative experience to support the operations of a fast-paced health tech company in Boston. This Operations Coordinator position is critical to the business. This role will focus on two primary areas:

  1. Work closely with multiple members of our Executive Leadership Team as an administrative assistant to help coordinate and manage their schedules, travel, expenses, and other logistics.
  2. Plan, organize, and execute various highly detailed projects, such as coordinating large-group trainings or an office move. This also includes coordinating events and logistics for various on-sites or off-sites. These projects may come from all areas of the business depending on company needs.

This role requires a high degree of follow-through, strong interpersonal skills, and impeccable organizational capability, all while interacting professionally with external stakeholders. This person will maintain a balance among multiple priorities and be comfortable working under pressure at times to handle a wide variety of activities and confidential matters with discretion. What you will do:

  • Oversee multiple executive calendars, send meeting confirmation, and process reschedules and cancellations as necessary
  • Proactively find ways to streamline schedules and calendars
  • Book and coordinate travel and hotel arrangements
  • Prepare for team onsites and executive meetings, including putting together the agenda, scheduling conference space required, facilitating refreshments, etc.
  • Partner closely with our office manager for execution of on-site events
  • Design and build project plans for larger projects
  • Build and use ticketing systems to manage tasks
  • Find opportunities to streamline operational processes
  • Plan and schedule large internal meetings, create agendas, and take notes
  • Serve as back-up office coverage as needed (expected 3-5 days monthly)

Your background & requirements:

  • 1-3 years of experience in healthcare operations, start-up operations and/or administrative assistant work
  • Highly professional, courteous and polite, especially when working with external parties
  • Self-motivated; able to work independently
  • Eager to try new things and learn; “not my job” isn’t in your vocabulary
  • Outstanding organizational and multi-tasking skills
  • Ability to triage incoming requests and shift priorities
  • Flexible and adaptable
  • Ability to meet deadlines and communicate status of assignments, including challenges or blockers
  • Ability to multitask and prioritize in dynamic, fast paced environment
  • Excellent written and verbal communication skills
  • Experience creating basic project plans, agendas, and meeting minutes
  • Ability to be in the Boston office 3-5 days monthly
  • Bachelor's degree in related field required
